If a part, sample or document has to make a flight out of Pearson today, we can pick it up in Kitchener, Waterloo or Cambridge and take it straight to the cargo terminal or your forwarder's warehouse. You book online, see the price before you pay, and get a photo when it is handed over.

The part that most often goes wrong is not the drive. It is arriving at the wrong building, after the cutoff, or without the reference the receiving desk needs. This guide covers what to check first.

Who this is for

Manufacturers, machine shops, labs and tech companies in Waterloo Region that need to get something onto a flight the same day, for example:

  • a replacement part for a customer whose line is down
  • a sample or prototype that a client is waiting for
  • signed documents that have to travel with a shipment
  • a small, urgent order going overseas

We carry items up to 80 cm (31 in) on the longest side and 23 kg (50 lb). Pallets, crates and anything heavier are outside what we can book online, so email us first (Contact us, in the menu) and we will tell you honestly whether we can help.

Before you book: four things to get from your forwarder

Air cargo is handled by airlines, ground handlers and freight forwarders, each with their own buildings around the airport. Ask whoever is shipping it on for you:

  1. The exact address and door. Pearson cargo is spread over several buildings. "Pearson Airport" is not enough for a driver.
  2. The cutoff. The latest time they will accept the shipment for your flight. It is usually well before the flight leaves.
  3. A reference number. An air waybill, booking or job number that the receiving desk can match to your shipment.
  4. A receiving contact. A name or desk and a phone number. Our driver calls ahead if anything is unclear.

Put the reference number and any dock or door details in the drop-off instructions when you book.

How to book it

  1. Go to Book a delivery.
  2. Enter your pickup address in Kitchener, Waterloo or Cambridge and the cargo building's address as the drop-off.
  3. Choose today's pickup. Same-day pickups for deliveries outside Kitchener-Waterloo and Cambridge close at 1 pm, and we pick up from 6 am.
  4. Add the receiving contact, the reference number and the cutoff in the instructions.
  5. Pay by card. You get a confirmation email with a private tracking link.

Pearson is in Mississauga, which is in our GTA zone (Zone 3). Trips to the GTA use Standard delivery, and the booking form shows the price and the delivery time before you pay. The delivery time is a window after pickup, not a set arrival time, so if your cutoff is tight, book the earliest pickup you can, or book it the day before.

What happens at the terminal

The driver takes the shipment to the address you gave, hands it to the receiving desk or the contact you named, and takes a photo as proof of delivery. We email you the photo, so you can forward it to your customer or forwarder if anyone asks where the shipment is.

What we cannot do

  • Dangerous goods. We do not carry hazardous items, including those that need special airline paperwork.
  • Pickups at the airport. We only pick up in Kitchener, Waterloo and Cambridge.
  • Customs or airline paperwork. Your forwarder or broker handles that. We just get the shipment to their door.

If the shipment is ready and you have the details from your forwarder, book a delivery. See also delivery to Mississauga for how our GTA zone works.
